Mid April to September 13th 2026 Contract

The Volunteer, Community and Crew Coordinator will play a lead role managing the volunteer and crew program for RBC GranFondo, being responsible for the recruitment, training, and deployment of crew. The candidate would play a key role in supporting the event team with the planning, delivery, and implementation of plans to successfully deliver two cycling events to be hosted in 2026 – XFONDO and the RBC GranFondo Whistler. Additionally, the incumbent will be in charge of planning and hosting various community events to bring together all members of the cycling industry; cyclists, volunteers, supporters, sponsors and more.

This role requires a self-starter who is comfortable working independently when required but thrives in the team environment. The Volunteer, Community, and Crew Coordinator must be an organized and detailed individual who will have excellent interpersonal & communication skills and will leverage previous experience successfully managing volunteer programs to reach targets for volunteer recruitment and training.

Due to the nature of sporting events, this role will also assist other departments whenever needed. This could include doing inventory of equipment, processing merchandise sales, booking travel arrangements and more.

Our current event stable includes: RBC GranFondo Whistler, and XFondo.

RESPONSIBILITIES:

Volunteer Recruitment

·         Lead the process to assess, plan and track overall volunteer needs for events;

·         Play the lead role in the recruitment of volunteers;

·         Participate in the overall headcount / crew needs assessment and planning;

·         Build and maintain relationships with organizations, groups, and individuals to grow the volunteer program;

·         Collaborate with the team to ensure all event-related details are included in event planning documents.

Volunteer Training & Management

·         Develop and implement the training and recognition program for volunteers;

·         Work with the event team to ensure task descriptions, schedules and reporting structures are developed and implemented;

·         Manage and maintain the on-line volunteer management system;

·         Create an environment that recognizes and respects the role and importance of volunteers;

·         Play a lead role in the coordination and adherence to safety for the areas of responsibility;

Community Outreach

·         Help support the Community Outreach Program for all events;

·         Planning and coordinating of community events and green initiatives;

–          Examples include: Prima Fondos, Bike to Work Week, Club Night and more;

·         Promotion of community events and green initiatives;

·         Discovering new and innovative ways to involve the organization within the Vancouver cycling community.

Other

·         Actively participate in team meetings as required;

·         Liaise and collaborate with other areas of the company, as well as external partners, as required;

·         Ensure the timely receipt of supplier invoices and assist with event budget review and reconciliation as required;

·         Provide post-event report on Volunteer Program and activities, and events (per RBC GranFondo templates);

MINIMUM EXPERIENCE REQUIREMENTS:

Experience / Background

•         Experience and high degree of ability for managing groups of people

•         Experience with Microsoft Office is crucial

•         Mass participation, live event experience is crucial

•         A passion for endurance sports or cycling is desirable

General Skills

•         Interpersonal & communication skills (written and verbal)

•         Creative problem solving ability

•         Ability to work with a team, operate under pressure, multi-task and meet tight deadlines

•         Physical fitness and ability to work long and hard days while maintaining a positive atmosphere.  Some evenings and weekend hours will be required

•         Knowledge of cycling events and industry will be considered an asset

SALARY:
·         $3,000 to $4,000/month, depending on experience and qualifications.
